(hereinafter: "VDE") is the controller under data protection law for all personal data processed in the context of our relationship, e.g. participation in an event, membership or activity as an expert, unless otherwise stated in this data protection information.

4. Personal data

Personal data is information that can be used to identify a person, i.e. information that can be traced back to a person. This typically includes the name, e-mail address or telephone number. However, purely technical data that can be assigned to a person is also considered personal data.

We normally process the following types of personal data, among others:

  • Personal identification information, for example, first and last names, academic titles, job title;
  • Participation in events;
  • Industry/employer/company/organizations;
  • Photos/videos;

5. Cookies

Cookies are stored on your computer when you use our website. Cookies are small text files that are stored on your hard disk - assigned to the browser you are using - and through which certain information flows to the body that sets the cookie (in this case us). Cookies cannot execute programs or transmit viruses to your computer. They are used to make the website more user-friendly and effective overall.

We use the following cookies:

  • Transient cookies, which are automatically deleted when you close the browser. These include, in particular, session cookies, which store a so-called session ID that can be used to assign various requests from your browser to the shared session. This allows your computer to be recognized when you return to our website. The session cookies are deleted when you log out or close the browser.
  • Persistent cookies, which are automatically deleted after a specified period of time, which may vary depending on the cookie. The cookies can be deleted at any time in the security settings of your browser.
    You can configure your browser settings according to your wishes and, for example, refuse to accept third-party cookies or all cookies. We would like to point out that you may then not be able to use all the functions of this website.

We also use HTML5 storage objects, which are stored on your end device. These objects store the required data independently of the browser you are using and have no automatic expiration date; you can prevent the use of HTML5 storage objects by setting your browser to private mode.

6. Overview of the individual procedures

We process your personal data within the scope of the procedures described below for the specific purposes:

6.1 Processing for invitations to VDE events

We process data for invitations to VDE events, specialist departments (ITG, GMM, etc.), training courses, exchange meetings and delegate meetings in order to inform you about these events in accordance with the purpose of the VDE statutes.

Legal basis:

The legal basis for the above data processing is Art. 6 para. 1 lit. f) GDPR. This legal authorization allows the processing of personal data within the scope of the "legitimate interest" of the controller, unless your fundamental rights, freedoms or interests prevail. Our legitimate interest lies in providing information about our events.

6.2 Processing for the organization of events

We process data of members, experts and other third parties for the purpose of organizing VDE events for which you have registered.

Legal basis:

We process this data in accordance with Art. 6 para. 1 lit. b) GDPR. Accordingly, data processing is lawful if it is necessary for the performance of a contract to which the data subject is party. Data processing is carried out for the performance of a contract relating to the event.

6.3 Surveys

We process your data to conduct satisfaction surveys in order to adapt our services to the needs of our members.

Legal basis:

We process this member data in accordance with Art. 6 para. 1 lit. b) and f) GDPR. Accordingly, data processing is lawful if it is necessary for the performance of a contract to which the data subject is party; or if there is a legitimate interest of the controller (in this case the satisfaction surveys to fulfill the statutory purposes) without prejudice to the interests or fundamental rights of the data subject.

7. Image, sound and media recordings

VDE is entitled, but not obliged, to make or have made photographic, film or other media recordings in the context of events.

These recordings serve the purpose of publication for presentation and information purposes, e.g. on our website, in VDE publications or social media and in the press.

If the participant does not agree to the photographs or other media recordings being taken, they are requested to inform the seminar management or event staff accordingly.

Legal basis:

The processing of photos, videos and media recordings is based on Art. 6 UAbs. 1 lit. f) DS-GVO. According to this, processing is lawful if processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.

Our legitimate interest lies in public relations work and the presentation of the events and activities of VDE e.V. in order to give interested parties an insight into the activities of VDE e.V. as one of the largest technical and scientific associations in Europe.

8. recipients of personal data

In principle, your personal data is processed by us. VDE only transfers data to third parties (in particular also to international standardization organizations) if there is a legal basis for this, such as in particular consent to transfer to third parties, the execution of a contract requires this, a balancing of interests justifies this - in particular within the VDE Group - or to comply with legal requirements according to which we are obliged to provide information, report or pass on data.

Some software applications that we use for data processing are hosted by VDE Services GmbH, based in Frankfurt am Main. VDE Services GmbH acts exclusively and solely on our behalf and in accordance with our instructions. VDE Services GmbH is regularly monitored by us. VDE Services GmbH is a subsidiary of VDE e.V.

Various VDE events are organized by EW Medien und Kongresse GmbH, Kaiserleistraße 8A, 63067 Offenbach am Main. EW Medien und Kongresse GmbH acts exclusively and solely on our behalf and in accordance with our instructions. EW Medien und Kongresse GmbH is regularly monitored by us.

In addition, external service providers are commissioned to act on behalf of and in accordance with the instructions of the VDE.

Within the VDE, only those internal bodies and departments receive the personal data that are necessary and required for the fulfillment of tasks.

9. processing of your data in a third country

Data is transferred to bodies in countries outside the European Union (EU) or the European Economic Area (EEA) (so-called third countries) if there is a legal basis for this, such as consent, the execution of a contract or if this is required by law.

Personal data may be transferred to (standardization) organizations in third countries outside the EU/EEA that do not have an adequate level of data protection recognized by the EU Commission if you have given your express consent.

Your data may also be processed in a third country in connection with the involvement of service providers as part of order processing.

If there is no adequacy decision by the EU Commission on an adequate level of data protection for the country in question, we ensure that your rights and freedoms are adequately protected and guaranteed in accordance with EU data protection regulations by means of appropriate contracts. Corresponding information, evidence and a copy can be made available on request from the VDE.

10. Data security

The personal data processed by us is treated confidentially and protected against loss, alteration and unauthorized access by third parties by means of suitable technical and organizational precautions.

11. Your rights

If the legal requirements are met, you have the right to request information from us about personal data concerning you or data processing (Art. 15 GDPR), correction, deletion and restriction of personal data concerning you or data processing (Art. 16 to 18 GDPR) and transfer of personal data concerning you (Art. 20 GDPR).

You also have the right to object to data processing if the legal requirements of Art. 21 DSGVO are met. You can revoke your consent in whole or in part for the future at any time if the legal requirements are met.

12. Duration of data storage

We store the personal data presented in the above-mentioned procedures in accordance with commercial and tax regulations for a period of at least 6 to 10 years.various data, such as names in meeting reports related to standardization or in a delegates' meeting, are permanently archived for documentation reasons.

13 Voluntary nature of the provision of data

The provision of personal data is not required by law. You are also not obliged to provide us with this data. However, the collection of certain personal data is necessary because, for example

  • participation in events, applications,
  • the fulfillment of the membership contract or
  • the implementation of standardization and committee work with the VDE,

is not possible without this data.
